Support for Custom Document Types
Two new configurations Define Document Types for Purchase Requisitions and Define Number Ranges for Purchase Requisitions are available in the Manage Your Solution app under Configure Your Solution > Sourcing and Procurement > Operational Procurement > Requirements Processing.
These configurations enable you as a configuration expert to do the following:
- Check and copy existing document types for purchase requisitions and define admissible item categories for document types
- Maintain the number ranges for purchase requisitions
You can also activate the overall (header level) release or item level release for these purchase requisition document types using the configuration Activate Flexible Workflow for Purchase Requisitions. You can activate the overall (header level) release by selecting both the checkboxes Overall Release for PReq and Scenario based workflow for the document type. And you can activate the item level release by selecting only the checkbox Scenario based workflow.
As a configuration expert, while configuring the workflow, you can choose custom document types in the Start Condition ‘Document Type of purchase requisition is’ for the overall release scenario in the Manage Workflows for Purchase Requisitions app.
You can also choose custom document types from the list of purchasing document types in the Default Settings for Users app.
As an employee, you can create purchase requisitions of custom document type using the Create Purchase Requisition app. In the case of Central Requisitioning, the custom document type must be available in both the hub system and connected system for the purchase requisition to be created successfully. You can view, edit, and delete these purchase requisitions using the My Purchase Requisitions app.
As a purchaser, you can create, view, edit and delete purchase requisitions of custom document type using the Manage Purchase Requisitions – Professional app.
As an approver, you can view purchase requisitions of custom document type in the My Inbox app, and also edit and approve these purchase requisitions using the Edit and Approve Purchase Requisition app.
Change Log
As an employee, you can view the change log in the My Purchase Requisitions app, and as a purchaser, you can view it in the Manage Purchase Requisitions – Professional app. The change log lists the changes that have been made to a purchase requisition item since the time of its creation.
Carbon Footprint
As a purchaser, you can view the carbon footprint of a purchase requisition item using the Manage Purchase Requisitions – Professional app. You can view the carbon footprint in the item details page for non-limit items of type Material, and origin Realtime (R) or Self-Service Procurement (S), created post SAP S/4HANA Cloud 2111. This value is calculated based on the carbon footprint maintained for the material in Product Footprint Management.
As an approver or requester, you can also view the carbon footprint in the item object page embedded in the My Inbox app.
Header Note
As a purchaser, you can maintain a note at the header level of the purchase requisition using the Manage Purchase Requisitions – Professional app. The first 40 characters of the header note are taken as the description of the purchase requisition.

International Trade Compliance Check
In the app Manage Purchase Requisitions – Professional, a trade compliance check is triggered when a purchaser saves an item by choosing Save. If the trade compliance check returns an error, then a purchase requisition item is created in a blocked state. In this case, the workflow can be initiated but no follow-on document can be created. The error also triggers the generation of a Trade Compliance document with reference to the purchase requisition item. The trade compliance officer can view and work on the compliance document. Once the trade compliance issues are resolved by the compliance officer, the item is saved and if there are no further issues in trade compliance, then the item is unblocked so that all follow-on processes continue as usual.
Trade compliance checks are not triggered for items of origin Self-Service Procurement (S)

Approval Details for Central Approval – Central Purchasing
In the case of Central Purchasing, if an item is relevant for central approval in the hub system, the workflow configured in the connected system is not considered. In such cases, the Approval Details section is not available for the purchase requisition item in the draft mode. In the display mode, the Approval Details section shows that the item has been sent to the central system for approval.
Configuration experts extract these purchase requisitions from the connected systems to the hub system, using the Schedule Import of Purchasing Documents app.
The extracted purchase requisitions are viewed by the central purchaser in the hub system, using the Process Purchase Requisitions Centrally app, and are centrally approved in the hub system based on the configuration maintained in the Manage Workflows for Centrally Managed Purchase Requisitions app.
If the item is not relevant for central approval, the workflow configured in the connected system is considered, and the workflow steps are shown as usual in the Approval Details.
An item is considered relevant for central approval based on the configuration maintained by the configuration expert in Maintain Central Settings for Purchase Requisitions in the Manage Your Solution app under Sourcing and Procurement > Central Procurement – Settings in Connected Systems.
Filtered Forwarding of Purchase Requisitions in My Inbox
As an administrator, you can now define the custom logic using the BAdI Workflow: get agents for forwarding by customer (SWF_FORWARD_AGENTS_GET_CUSTOM) to filter the list of recipients that are shown in the My Inbox app when an approver wants to forward a task to another user.
Item Note
As an approver or requester, you can view the item note in the purchase requisition item object page embedded in the My Inbox app.
Attachments in Purchase Requisitions – Central Requisitioning
As an employee, you can now add a link as an attachment to a purchase requisition item in the case of Central Requisitioning, using the Create Purchase Requisition app.
While adding a link, make sure that the URL is part of the Trusted Network Zones maintained by the administrator in the Maintain Protected Allowlists app.
Accounting Details in Self-Service Purchase Requisitions
In the app Create Purchase Requisition, you, as an employee, can now personalize the Account Assignment section of a purchase requisition item to easily view and maintain the required accounting details using the Settings option.
Inventory Reservations in Guided Buying
The Guided Buying Capability with SAP Ariba Buying (2NV) and Guided Buying for Central Procurement with SAP Ariba Buying (3EN) now enable you to create reservations in SAP S/4HANA Cloud for inventory reservation requests received from guided buying.
Limit Items in Guided Buying for Central Procurement
The Guided Buying for Central Procurement with SAP Ariba Buying (3EN) now enables you to create requisitions in SAP S/4HANA Cloud for limit items received in guided buying requests.
Enhancements in CDS View for Purchase Requisition Item
The CDS View Purchase Requisition Item (I_PurchaseRequisitionItemAPI01) has been enhanced with the following fields:
- Reservation that provides the reservation number of the reservation, if any, that has been created for the item.
- PurContractForOverallLimit that provides the reference purchase contract number, if any, for purchase requisition limit items of product type Service.
OData API: Purchase Requisition
This API now provides an additional parameter PurContractForOverallLimit in the item entity A_PurchaseRequisitionItem. This parameter indicates the reference purchase contract number, if any, for purchase requisition limit items of product type Service.
